Note
This article applies to customers using automated rostering (Clever, ClassLink, or SFTP) as well as customers performing a one-time manual upload (Assisted Rostering). Settings can be edited anytime you are uploading a new file.
Work with your CSM to run the School Year Transition Wizard before you send new data to Imagine Learning. You can schedule the data to be cleaned between July 5th of this year and September 30th of the next year (2027).
Admins can customize how data is processed when imported. Settings are grouped by entity (Administrators, Teachers, Students, Classes) and allow control over updates, creation, and relationships.
Administrators
- Update Unmapped Admin Users: Link batch data to existing admin accounts using email/username.
- Create New Admin Users: Add new admin accounts from batch data.
- Create Admin-School Relationships: Map Admins to the correct License Groups (schools).
Teachers
- Update Unmapped Teacher Users: Sync existing accounts missing roster IDs.
- Create New Teacher Users: Add new Teachers based on email/username.
- Create Teacher-School Relationships: Connect Teachers to the correct schools.
- Reactivate Inactive Teachers: Re-enable previously archived/inactive teachers.
Students
- Create New Students: Add new Student records from batch.
Classes

Create New Classes: Add classes based on batch data.

- Create Class/Teacher Relationships: Assign Teachers to Classes.
- Create Class/Student Relationships: Assign Students to Classes.
Miscellaneous Rules
- Remove/Deactivate Unmapped Users: Clean up users not in current batch.
- Assign Primary Teachers/Students: Set rules for primary assignment if data conflicts.
- Merge Duplicate Students: Merge Teacher-created and roster-imported students.
- Auto-Activate SSO Teachers: Activate login for SSO Teachers.
- Reset Teacher/Student Access: DANGEROUS – wipes manual relationships.

Enable Auto Roster File Processing (if SFTP enabled):
- Turn on file processing.
- Add optional email for processing logs.
To edit your rostering settings in Sonday System Digital:
- Log in to Imagine Sonday Sytem Digital and select a group if you have more than one group.

Click the hamburger menu in the top right corner of the page and then select Roster Management.

If you do not have Roster Management in your list of options, be sure you have selected the parent-level group from your Admin Dashboard. If you still need access, contact your CSM or sondaysupport@imaginelearning.com.
- Click Manage Settings.
- The Roster Processing Settings page opens. It's divided into areas for Administrators, Teachers, Students, Classes, Class Teachers, Class Students, Miscellaneous Business Rules, and Automatic Rostering. Most questions are defaulted to the recommended or most typical settings. A detailed description of each setting is explained in Option Descriptions on the right side of the page. After reading the description, select the setting that best suits your implementation setup.
